Organized Play Guide
Follow this step by step guide to get your Echoes of Astra Organized Play event running. This guide is intended for store owners that have registered on AstraPlay. If you have not done so yet, go to play.echoesofastra.com and register first!
Store Registration
Register/Sign in on AstraPlay using a valid login account.
Store Application: On the left sidebar, you will see a Store Request link, with a survey form inside. Fill out the survey to apply.
Accounts are approved on a rolling basis. Once approved, your account will be considered a Store Account.
Store Accounts can create events that players will see on the “Discover” and “Store Locator” maps.
Event Creation
From your Store Profile, press the large “Create Event” button.
Fill out the Schedule Event side window.
* AstraPlay doesn't yet have an online entry fee collection, so you will have to collect at your LGS door. Feel free to list a sign up cost in the Event Description field.
* "Total Rounds" field is for Swiss format. This can be freely adjusted based on attendance during your event.
Press Create Event.
Your Event is now public! You can edit the details freely. When your event begins, you can manage and start your event from the Profile Page > My Events or find it in the Event Scheduler side tab. Just click the event once you are ready.
Share your event link or QR code to get players to Pre-Register!
Starting the Event
The dashboard will look like the screenshot above.
[Start Check In] to begin checking in registered players at the door. All participating players should be GREEN in the Checked In section.
[Add Player] is for walk-ins. Assign them a username and checkmark “Is Guest”.
[Add Judge] to add verified AstraPlay judge accounts so they can officiate and earn points.
[Start Event] once ready!
Matchmaking Rounds
The event has begun! If you have a dual monitor, open the Event Board link at top of the page on the external display to show timers and live updating match info.
Edit the round duration under the Matchmake button if you need more than 30 minutes.
[Matchmake] to assign partners for each table. The table info is on the right section.
If you want to rearrange matchups, just drag and drop names wherever you want.
If you want to lock a player’s seat position between matches (ie. for a disabled player), press the small lock symbol by their name.
[Post Matches] will update your live event board info.
[Start Round] will begin the Round timer.
Update scores as they come in! Click the numbers in the table view, type in matches won and press SAVE.
When all players are done, press [Complete Round] to move on. Repeat these steps until all rounds are finished!
Edit Past Rounds
If you need to edit past round data, at the top of the matchmaking board, there is a Match History tab.
You can edit the previous Round’s scores if needed.
You may need to refresh the matchmaking page (F5) to update scores.
Final Standings
When you want to wrap up the event, press the [Complete Event] button. The final leaderboard page will populate and you can start giving out rewards to players!
